# Turn the first visit into a course of care.

An assessment is the beginning. Wilco helps patients accept the plan, make their sessions and return when the physiotherapist recommends it.

## Example workflow: One missed session needn’t end the course.

This example explains a configurable workflow, not a live patient record or a guarantee of conversion.

Care plan open. No next session.

Phone and WhatsApp follow-up. Find out what stopped the patient coming back.

### “I’m not sure I need more sessions.”

Wilco → your physiotherapy team: Get the plan clarified.

Care team: Help with costs and practical barriers to attending.

Physiotherapist: Pass questions about symptoms or session frequency to the therapist.

Next step: A next step agreed with the therapist

Wilco does not prescribe more sessions, change exercises or assess recovery.

### “My work hours have changed.”

Wilco + your clinic diary: Find a time they can keep.

Phone or WhatsApp: Find availability that fits the patient and the agreed course.

Clinic diary: Book or move the session and restart appointment reminders.

Next step: The next session back in the diary

Clinical priorities and appointment length follow your team’s rules. Attendance is tracked separately.

### “Can I pay for the agreed course online?”

Wilco + your payment provider: Give payment a clear next step.

WhatsApp: Share the clinic’s approved link for the agreed sessions.

Payment confirmation: Update the status from the connected payment system.

Next step: Payment status updated in the clinic record

Your team agrees the course and price. Sending a link does not mark the course as paid or completed.

Configured for each clinic: Therapist-approved course; Your scheduling rules; Human help when needed.

## From first assessment to following through.

### Turn an enquiry into an assessment.

Someone asks about an appointment, then misses the callback or leaves the conversation unfinished.

Connect the enquiry from your agreed channels and follow up around the person’s availability. Resolve practical questions and help book the initial assessment. Clinical questions go to the physiotherapist.

An assessment booked or an enquiry brought to a clear outcome.

### Keep a changed diary from becoming lost care.

A work commitment or a missed session can interrupt the entire course.

Confirm the appointment, help reschedule and update the reminders. After a recorded no-show, reconnect to understand what happened and help arrange the next visit when appropriate.

Sessions attended, including visits recovered after a change.

### Help the patient commit to the proposed plan.

The assessment is complete, but the recommended course has no agreed next step.

Follow up the plan, discuss practical barriers such as availability or cost and coordinate the next session. Questions about frequency, symptoms or the exercises themselves go back to the physiotherapist.

An accepted care plan with a next visit arranged.

### Pick up the course where it paused.

The patient stops attending before the agreed course is complete.

Reconnect about the existing plan and understand why it paused. Bring changed circumstances to the clinician before arranging a return. Coordinate reviews when recommended and make patient-led referrals easy.

A clinician-approved return, or a recorded decision not to continue.

## Your team in the loop

Your care team, or the human team Wilco provides, can step in with the conversation history. Timing, contact limits and handoffs are configured for your clinics.

Your physiotherapists decide the course of care. Wilco supports attendance and follow-through, without prescribing extra sessions.
