AI Doppelgänger, Lda (“Wilco”, “we”, “us”) is a company registered in Portugal. We operate getwilco.ai and provide AI-powered voice and messaging automation services for healthcare providers. This notice explains how we handle personal data when you visit this website, contact us, book a meeting or request our voice demo.

1. Who we are
AI Doppelgänger, Lda, trading as Wilco, is responsible for the personal data described in this notice. For privacy questions and requests, contact privacy@getwilco.ai. Patient data processed for a healthcare provider is governed separately by our agreement with that provider and its privacy notice.
2. Website visits and business enquiries
When you contact us, we process your contact details and the information you choose to provide so we can respond to your enquiry. The lawful basis is our legitimate interest in responding to business enquiries. The website is hosted on Vercel. Hosting and security services process technical request information, such as IP address, browser details, requested pages and timestamps, to deliver and protect the website. Our basis for this processing is our legitimate interest in operating a secure, reliable website.
3. Booking a meeting
Book a meeting opens Cal.com in a separate tab. If you make a booking, Cal.com processes the details you enter, such as your name, email address, selected time and answers to booking questions, on our behalf. We use these details to arrange the meeting, send booking-related communications and respond to your business enquiry. The lawful basis is our legitimate interest in handling the meeting you request. Cal.com and any calendar or conferencing service used for the meeting also process the information needed to provide their services. Please do not include patient records or health information in a booking.
4. Trying the voice demo
Talk to Wilco opens our existing external voice-demo page, which may still display the former Doppel branding. This website does not collect a telephone number or start a call. If you choose to launch the demo there, you provide a company name, telephone number and language preference so an AI voice agent can call you. Those details and the information you choose to share during the conversation are processed to deliver and respond to your requested demonstration. The lawful basis is our legitimate interest in responding to that request. Only request a call to your own number or a number you are authorised to use. The demo is for evaluating the service, not for obtaining healthcare: do not provide patient records, health information or other sensitive personal data.
5. Analytics, cookies and external services
With your consent, we use Google Analytics 4 to understand how visitors find this website, which public pages they visit, and whether they open our booking page or voice demo. Google Analytics is not loaded before you allow analytics. You can decline without affecting the website, booking or demo, and change or withdraw your choice through Cookie settings in the footer. We store your choice in your browser for up to 180 days. If you accept, Google Analytics uses first-party _ga cookies, configured to expire after 180 days without automatic renewal, and processes a pseudonymous browser identifier, page and campaign information, interaction times and technical browser and device information. Google processes technical connection information to receive these events. We do not send booking form contents, names, email addresses, telephone numbers or patient records to Analytics. Advertising features and Google signals are disabled. We measure opening a booking link separately from a completed booking; the marketing website does not observe a booking or call made on the external service. Cal.com and the voice demo are links, not embedded services; they load only when you open them. Their own cookie and privacy information applies there. Our legal basis for optional analytics is your consent. Withdrawal stops future collection and removes the website's Analytics cookies; it does not affect processing already carried out lawfully.
6. Who we share your data with
We do not sell or share your personal data with third parties for marketing purposes. We use service providers to host the website, manage email and bookings, measure website use with consent, and deliver the voice demonstration. These include Vercel for website hosting, Google Ireland Limited for Google Analytics, Cal.com for scheduling, and the communications services needed to deliver a requested demo. Providers receive the data needed to perform those services, under applicable data processing arrangements. Google's privacy information is available at policies.google.com/privacy.
7. International transfers
Some of our service providers process data outside the European Economic Area. Applicable safeguards may include a European Commission adequacy decision or Standard Contractual Clauses. You can contact privacy@getwilco.ai for information about the safeguards relevant to your data.
8. How long we keep your data
We keep business enquiry and meeting correspondence for as long as necessary to respond to your request and for up to 2 years thereafter, unless you ask us to delete it sooner or a legal obligation requires longer retention. Google Analytics user-level and event-level data is configured for retention of up to 14 months, without resetting user retention on new activity. Aggregated reports may be retained for longer. Technical records and data held by other service providers follow the retention rules applicable to those services. Contact privacy@getwilco.ai with questions about the retention or deletion of a specific booking or demo.
9. Your rights
Under the GDPR, and subject to the applicable conditions, you can request access to your data, correction, deletion, restriction of processing and portability. You can object to processing based on legitimate interests and withdraw consent where processing relies on it. To exercise your rights, email privacy@getwilco.ai. We normally respond within one month; if a permitted extension is necessary, we will explain it within that period. You may also complain to your local data protection authority or Portugal’s Comissão Nacional de Proteção de Dados (CNPD).
10. Changes to this policy
We may update this policy when our services or data handling change. The date at the top identifies the latest version.
